19th Hadron Collider Physics Symposium 2008

May 27-31 2008





On May 27-31, 2008, the Hadron Collider Physics Symposium will be held at Eagle Ridge Resort in Galena, Illinois. The Symposium is sponsored by Fermi National Accelerator Laboratory, Fermi Research Alliance, LLC, and the U.  S. Department of Energy.

This symposium has been a major forum for the presentation of Tevatron Collider measurements over the last two decades. It is the 19th conference of a series, the last two having been held at Duke (2006) and Elba (2007). The meeting has been recently merged with the LHC Symposium, bringing together the Tevatron and LHC communities.  The Symposium will come at an important time for both communities. It should stimulate the completion of analyses of Tevatron data and it will allow a presentation of LHC plans just before the advent of data.

 

The program will include sessions on Top Physics, Standard Model, QCD, B Physics, New Phenomena, LHC Experiment Status, Electroweak Symmetry Breaking, and Machine Status, Summaries and Prospects.  A draft program is posted on the web.

 

Format

The Symposium will consist of plenary sessions on Tuesday, half a day on Wednesday, all day Thursday and Friday, and half a day on Saturday, with oral presentations by invitation only.  In addition, a poster session on will be held on Friday evening, May 30, 2008, at 5:30 p.m.

 

Venue

The Symposium will be held at the Eagle Ridge Resort and Spa in historic Galena, Illinois.  Located in the Northwest corner of Illinois (140 miles west of Fermilab), Galena is a pastoral town surrounded by rolling hills and picturesque farmland.  Visitors to Galena can enjoy fine dining, regional wine, 19th century architecture, lush gardens, and some of the Midwest's finest golf courses.

 

Registration

The Registration Fee is $400 U.S. and includes the CD proceedings, transportation from O'Hare Airport to the Eagle Ridge Resort on Monday, May 26, and return on Saturday afternoon, May 31, coffee breaks, and administrative costs of organizing the Symposium.

 

Registration fees may be paid by check, credit card, bank transfer or in cash upon arrival, and must be in U.S dollars.  The Deadline for Registration is May 16, 2008.   Please go to the on-line Registration Form for further information and payment.

 

Accommodations

The Eagle Ridge Resort and Spa is located approximately 6 miles from the town of Galena.  The Resort is located on 6,800 acres in the rolling hills of an area left untouched by ancient glaciers.  The results are dramatic rocky bluffs, gently rolling hills, and wooded valleys that are home to diverse plant and wildlife.

 

Accommodations for Symposium participants have been arranged in hotel rooms in the main Inn and in two- and three- bedroom townhouse Villas. All reservations will be assigned based on arrival/departure dates, requested accommodations, and availability.  Once all Inn rooms are filled, you will be partnered (by Fermilab) with another guest in a shared Villa.

 

All Inn rooms are just steps away from the indoor swimming pool, fitness center, Stonedrift Spa, Woodlands Restaurant, Pisano's Cafe, and many other amenities. All Inn rooms include:  coffee maker with complimentary coffee, iron and ironing board, hairdryer, bottled water, LodgeNet movies available for a fee, and plush terry-cloth robes available on request.

 

Each Villa is fully furnished with a living room, fully-equipped kitchen, fireplace, barbecue grill, microwave oven, Color TV/VCR and or DVD player, daily maid service, complimentary "welcome coffee" and 24-hour security.  The Villas are located within easy walking distance to the Inn.  Participants will share Villas with each participant having a private bedroom and bathroom.

 

To make housing reservations, please register first and then complete the Individual Reservation Request. (.doc) or (.html). Housing reservations must be made using the Individual Reservation Request form.  Reservations will not be accepted using the Eagle Ridge on-line Reservations.  Housing reservations must be made by April 25, 2008, at 5:00 p.m. Chicago time.

 

When making your reservations, please go to the Individual Reservation Request form, and print the form, complete the information requested, and mail, fax, or phone in your reservation to Eagle Ridge at the address given below.

Housing assignments will be based on your arrival/departure dates as indicated in the Individual Reservation Request. If you wish to share a Villa with a specific person, please indicate that person's name on the Individual Reservation Request. We will make every effort to accommodate your request but cannot guarantee that we will be able to do so.  Be sure your "Villa mate" has the same arrival/departure dates as you. Please remember, if the Villa is not fully occupied on any given night, the nightly room rate is still $180 (two bedrooms) or $270 (three bedrooms) and the remainging individual will be responsible for payment of the full rate.

 

Check-in time is 4 p.m.   Check-out time is 12 noon.

 

When you make your housing selection on the Individual Reservation Request, you will have the following options:

 

(1) Inn Room (US$90 per night + 11% lodging tax).

 

(2) Shared two-bedroom Villa (US$90 per person per night + 11% lodging tax).

 

(3) Shared three-bedroom Villa (US$90 per person per night + 11% lodging tax).

 

The above rates  include free high speed wireless internet access in hotel rooms, conference rooms, and most units throughout the Resort; local calls at no additional charge; in-room coffee and tea; daily newspaper available in the lobby (delivered to all inn rooms); free long distance call access for 800 numbers and credit card calls; guest services available to assist with dining reservations and recommendations, flower orders, etc.; unlimited incoming/outgoing faxes; unlimited use of Business/Computer center; daily Galena Shopping Shuttle; unlimited use of indoor pool, whirlpool and towels; unlimited use of tennis courts and equipment; unlimited use of fitness center; 2 hour daily use of bikes, paddle boats and canoes; preferred access to restaurants; preferred access to golf course rates; preferred tee times; preferred access to The Stonedrift Spa; unlimited transportation to club areas from Inn.

 

Guarantee Policy:

A guarantee fee equal to one night's lodging and tax is required to guarantee your reservations and will be charged to a major credit card at the time of booking.  This amount will be applied toward your last night's lodging upon check-in. 

 

Cancellation Policy: 

The guarantee fees (last night's lodging & tax) will be forfeited if accommodations are cancelled less than 7 days prior to arrival.  You have from now until 7 days prior to arrival to cancel with a $35 cancellation fee.  The guarantee fees (last night's lodging & tax) placed on your credit card at the time of reservation will be forfeited if accommodations are canceled less than 7 days prior to arrival.

Visas

International participants are warned that they may require a visa to enter the United States. Visa applications can take some time. Please contact the secretariat if you require an invitation letter.

 

Transportation

Eagle Ridge Resort is located 144 miles west of Chicago O'Hare International Airport.  There is no public transportation from the airport to Eagle Ridge. 

 

We are planning to organize a chartered bus between O'Hare International Airport and the Resort in Galena.  The trip will take about three (3) hours. The bus will leave the airport at 6:00 p.m. on Monday, May 26, 2008, from the O'Hare Hilton Hotel which is located in front of Terminal 2. 

 

Since the Hotel is not located close to the International Terminal (Terminal 5), if you arrive on an international flight, we suggest that you take the Hilton shuttle bus from the International Terminal to the Hotel.  Once you have collected your luggage, please use the Hilton courtesy telephone and tell them you would like a ride to the Hotel.  They will come and pick you up at Terminal 5 and take you to the Hotel where you will see a bus parked with a sign stating "HCP08 Participants to Galena, IL."  Please remember that the bus will leave at 6:00 p.m. so you must arrive at the Hotel before 6:00 p.m.  The bus will not wait for you.

 

If you should miss the bus, you will have to rent a car and drive the 144 miles on your own.

 

A return bus is planned for Saturday, May 31, 2008, at the end of sessions, at approximately 12:30 p.m. so be prepared to have your luggage with you so that you can leave immediately after the Symposium sessions end.  This bus will return you to the Hilton Hotel at O'Hare Airport.  If you miss this bus, you will have to make other arrangements for your return to O'Hare.

Social Events

A reception, hosted by the Fermi Research Alliance, LLC, will be held at the Resort on Tuesday evening, May 27, 2008, from 7:00 p.m. to 9:00 p.m. in the Galena Rooms, lower level below the ballroom. All companions are invited to attend the reception.

 

A dinner will also be held at the hotel on the evening of Thursday, May 29, 2008, at 7:00 p.m. on the Point Patio (weather permitting).  Tickets for participants and companions are $75 each.    Tickets for the dinner will be available for purchase during registration, as well as in the Secretariat on Tuesday.  All tickets for this event must be purchased by Noon on Tuesday, May 27, 2008.

 

In addition, Fermi Research Alliance, LLC, will host another reception during the Poster Sessions on Friday evening, May 30, 2008, at 5:30 p.m.

 

Computing

Eagle Ridge now offers free high-speed wireless internet access in all the hotel rooms, conference rooms, public areas, and most housing units throughout the Resort.

A central computing facility will be set up next to the Secretariat where computers for checking your e-mail and a printer will be available throughout the Symposium during regular business hours. 

 

Visiting Galena

Wednesday afternoon has been left open so that participants have an opportunity to go into Galena and visit the many historical sites, as well as visit some of the shops and galleries located along Main Street.

 

A complimentary "Shopping Shuttle" is available daily.  It takes people from Eagle Ridge at 11:00 a.m. and picks them up in Galena.  Reservations must be made through the Front Desk for this shuttle.

 

A private 7-passenger van shuttle is also available at a cost of $100 per van, round trip.  This shuttle may also be arranged through the Front Desk.

 

Call for Poster Abstracts

 

Contributions to the Symposium will be either talks or posters. All sessions will be plenary with oral presentations by invitation only. The average allocated time for each talk is expected to be 30 min. For most of the sessions, whenever appropriate, one or two talks will be included in the program which should provide a theoretical overview of the field and insights on the most recent developments.

 

To give young physicists an opportunity to contribute to the scientific program of the Symposium, the submission of abstracts for posters is warmly encouraged.

 

The Conveners will make the decision on the acceptance of posters. Write-ups of the accepted contributions will appear in the final Proceedings of the Symposium.  Physicists interested in contributing to the scientific program with posters, are requested to submit a brief abstract, 120 words or 15 lines maximum length, by using the Abstract Area available on the Registration Form.  The deadline for abstract submissions is March 15, 2008.

 

Contributors are expected to provide an electronic version of their presentation in a portable format (e.g. Postscript, Power Point or PDF). More details will be indicated in the next bulletin.

All contributing authors are requested to prepare a manuscript to be included in the Proceedings  following the instructions available on the Conference web site and submit it upon arrival at the Symposium.
